Lab Personnel

I require lab access in BSB/NSERL. How do I get access?

The Access Procedures is a great tool to review to make sure all steps are completed. For any lab personnel requesting access:

For access to BSB and NSERL, lab personnel will need to complete BioRaft training in order to get access to the building. If you are a lab personnel requesting access, you must contact the lab owner (PI) to add you to their lab in BioRaft. Once you complete your designated training, you will be granted access to that lab space in less than two hours.

All non-lab personnel (i.e. administrative staff, etc.) will need to submit access request through eCAT for further processing. If you have any questions regarding specific doors being requested, feel free to contact Vickie Lincoln. Lastly, your department must email Vickie Lincoln to request your building badge and make sure to include NetID. No one will be allowed to enter BSB without a building badge.

NSERL

All NSERL occupants and lab personnel will need to submit access request through eCAT for further processing.

Your Department must email Vickie Lincoln requesting your building badge, make sure to include NetID. No one will be allowed to enter BSB without a building badge.

BSB

All BSB lab personnel will need to complete BioRaft training in order to get access to the building. Your department must email Vickie Lincoln requesting your building badge, make sure to include NetID. No one will be allowed to enter BSB without a building badge.

What is BioRaft? How do I get signed up?

All training courses are accessible through the Laboratory Management System (BioRAFT). A NetID and registration with a UTD research laboratory is required for access. If you are visiting a campus lab or do not have a NetID, please contact Lab Safety for a temporary account.

If you would like to obtain access to the BSB or NSERL, please contact the lab owner you will working with and request to be added to their lab. You may also email Shane Solis for further instructions.

After completing my BioRaft training, how long will it take for me to get access?

Tomorrow is my last day at UT Dallas, what should I do with my badge?

To remove someone from your lab in BSB, you will need to log into your lab in BioRaft, remove the individual, and their access will be removed automatically. If you need assistance, feel free to contact Shane Solis.

Also, make sure your department administrative support submits an eCAT to check out the individual from the University. By doing this, you will ensure their access is removed from all areas throughout campus, including research laboratories

I am a lab owner with lab space. I want to monitor who has access to my lab in NSERL and/or BSB?

I have a visiting high school student and scholar who will be volunteering in my lab this summer. What are the steps I should take?

For direct sponsorship of a non-UT Dallas affiliated volunteer (non-academic program or camp), faculty or a department designee must request/collect/maintain medical and insurance indemnification forms. In addition, coordinate the electronic credentials for computer (eCAT) and building access (BioRaft) with their departments.

All non-affiliated participants to UT Dallas research labs must submit four required forms prior to or on the first day at UTD:

  • Talent Release FormThe Talent Release form should be used when photographs or videos of individuals or small groups will be used on websites or in other published communications. The form is generally not needed for crowd shots, large group photos, or where otherwise impractical or unreasonable to obtain releases from all persons appearing.
  1. The CBC is required for all employees who will be working with minors.
  2. The CBC is required for ALL volunteers who are not minors.

IMPORTANT: For UTD staff members, the U.T. System and U.T. institutions may rely on a criminal background check conducted at that institution within the past twelve (12) months, if there is not a break in service of more than six (6) months.

The department who will be using or hosting volunteers is responsible for making sure a criminal background check has been completed, and is deemed satisfactory by UTD standards, prior to the volunteer participating in any events or activities on campus. Each volunteer or employee who requires a CBC, should complete the form and submit to the Police Department.

Miscellaneous

I have access to neither BSB nor NSERL, but I would like to visit someone in one of those buildings. What do I do?

You must sign in at the security guard desk in the designated building with a valid picture ID. You will receive a visitor’s badge that must wear at all times while in the building. The guard will contact the person you are visiting to escort you throughout the building. Upon exiting the building, you must return your visitor’s badge to the security guard desk.

I have a visitor visiting me and I am unable to escort them, what should I do?

If you will not be available, you can provide your visitor with another contact person to be notified when they arrive or provide the guard with a second contact information. Please feel free to contact the BSB guard at x7204 or the NSERL guard at x5741.

I am a PI who resides in NSERL/BSB, I would like to have outside students meet me in my office.

All faculty members who reside in BSB are strongly encouraged to reserve east wing conference rooms for their office hours during the school year. The east wing conference rooms are available within the administrative suites that are open to the public Mon-Fri 8AM-5PM.

If you would like to reserve a conference room, please contact your department delegate for room reservations.

When am I required to submit the Event Reservation Form vs. Event Registration Form?

The event reservation form is required for any meetings or events in BSB or NSERL in which guests without building badges are in attendance. In these cases, the organizer must submit the Event Reservation Form and include their list of attendees. If this is not included, your guests will need to sign in as visitors and be escorted by their host to the event space. Once complete, forward the form to your department delegate and building security guard.

The event registration form is required for events that supersede the space capacity and/or held in the atrium or outside spaces. In these scenarios, the department will be responsible for requesting and paying for a public safety officer (PSO) to monitor their event.

PLEASE NOTE: Events conducted on the lawn or in the courtyard of BSB will most likely require a PSO based on the scope of your event.

The Event Reservation Form has a section to list all the attendees, what if it is open to the public?

Any public events will not require a list of attendees as long as that option was selected on the Event Reservation Form at the time it was turned in.

I would like to have an event outside and/or in the Atrium. What should I do?

The courtyard, front lawn, and atriums in BSB are reservable event space. If you are interested in reserving any of these areas, contact Jamesha Townsend with event details and number of attendees. Based on the scope of the event, Research Facilities Operations will determine if a PSO is required.

Once approved, make sure to submit the Event Registration Form and be as specific as possible (note whether a PSO is required). This form will be routed to the appropriate departments for review and approval. Once fully received then reviewed, your event will be reserved.

In which cases are a PSO required at an event in BSB and/or NSERL?

  • Event spaces, including atriums, exceeding individual capacities.
  • All courtyard and front lawn events will be reviewed on a case-by-case to determine if a PSO is required
  • Departments are in charge of covering all PSO costs for events

Are there any special guidelines for events held in NSERL/BSB?

Yes, the Office of Research has established specific event guidelines that all departments must adhere to when utilizing their research facilities. Anyone interested in holding an event in NSERL or BSB must review BSB-NSERL Event Guidelines.
